How to Build a Notion Project Dashboard
A good Notion dashboard isn't a new database — it's a handful of filtered, linked views of the databases you already built, arranged so the answer to "what do I need to do today" takes zero clicks to find.
A good Notion project dashboard isn’t a new database — it’s a handful of filtered, linked views of databases you’ve already built, arranged on one page so “what do I need to do today” takes zero clicks to answer. Here’s the exact panel layout and setup steps.
A dashboard is views, not new data
The most common mistake in this category: building a separate “Dashboard” database to hold summary numbers, then manually keeping it in sync with the real Projects and Tasks data. Don’t. A dashboard page should be entirely made of linked database views — filtered, sorted, and grouped versions of your existing Projects and Tasks databases, all updating live with zero manual maintenance.
The four-panel layout
| Panel | Source | Filter / Group |
|---|---|---|
| My Tasks | Tasks | Filtered to current user, sorted by due date |
| This Week | Tasks | Filtered to due within 7 days, grouped by Project |
| Team Workload | Tasks | Grouped by Assignee, open tasks only |
| At a Glance | Projects | Shows % Complete, overdue count, next deadline rollups |
Building each panel
For each panel: on the dashboard page, type /linked and choose “Create linked view of database,” select Tasks or Projects, then apply the filter and grouping from the table above. Each panel is a genuine live view — edit a task’s due date anywhere in the workspace, and every panel reflecting that task updates instantly, no refresh or re-sync required.

Create a blank Home page
This becomes your dashboard — nothing on it yet but a title.

Add a linked view of Tasks, filtered to “me”
Sort by due date ascending. This is your My Tasks panel.

This dashboard layout assumes the Projects/Tasks/Team structure from our main tutorial — read that first if you haven’t built it yet.
Launch checklist
Dashboard Launch Checklist
- Every panel is a linked/filtered view of an existing database, not new data entry
- A My Tasks panel exists, filtered to the current user and sorted by due date
- A Team Workload panel groups tasks by Assignee for a fast overload check
- An At a Glance panel shows project-level rollups, not raw task lists
- The dashboard is set as (or linked from) the workspace’s default landing page
Common mistakes
Common Dashboard Mistakes
- Creating a separate database to hold “dashboard” data. — Duplicates information that already exists in Projects and Tasks, and the copy immediately goes stale since it doesn’t sync.
- Cramming every possible view onto one page. — A dashboard with 12 panels is as unusable as no dashboard — keep it to the 4–6 views people actually check daily.
- No personal “My Tasks” filter. — Without it, everyone scans the full team task list to find their own work, which is exactly the friction a dashboard is supposed to remove.
- Building it once and never revisiting. — As the team’s real questions shift (budget concerns, a new client type), the dashboard should gain or lose panels — treat it as a living page, not a one-time build.

FAQ
Do I need a separate database for the dashboard itself?
No — a dashboard page is just linked/filtered views of your existing Projects and Tasks databases, arranged on one page. Creating a new database to “hold” dashboard data usually just duplicates information and breaks sync.
Should every teammate have their own dashboard, or one shared one?
Both, usually: one shared team-level dashboard (workload, at-a-glance project health) plus each person’s own “My Tasks” filtered view, either as a personal page or a filter toggle on the shared one.
Can I add charts, not just filtered lists?
Notion doesn’t have native chart blocks as of this writing, though it supports simple visual progress bars via formulas and rollup displays. For real charts, some teams embed a lightweight external chart tool or use a formula-generated text-based progress bar as a workaround.
How often does a dashboard need to be rebuilt?
Rarely, if it’s built from linked views — the underlying data updates live. Rebuild only when your actual questions change (e.g., you start tracking budget and need a new panel for it), not on a schedule.
