Who this structure is for

If you’re a consultant, coach, designer, or contractor working with a handful of clients — with or without a small team — and your main need is “show the client what’s done and get a clean approval on record,” this is lighter than the full agency structure, which is built for managing team capacity across many simultaneous accounts. This one adds a single new database — Deliverables — to the base structure.

Deliverables sits between Projects and the client — each one carries its own status and a recorded approval date.

The Deliverables database

Create a Deliverables database with:

Add a rollup on Projects counting related Deliverables where Status isn’t “Approved” — a live “what’s still outstanding” number with no manual tallying.

Building a real sign-off trail

The Client Approved date field is what turns this from a task list into an actual record. Every deliverable’s approval history stays attached to that specific version of the work — permanently searchable, unlike a sign-off buried three replies deep in an email thread.

The agency structure is built for managing team capacity across many simultaneous client accounts. This one is lighter — built for tracking deliverables and getting a clean approval trail on a smaller number of client engagements, with or without a team behind you.

What counts as a “deliverable” versus a regular task?

A deliverable is anything the client needs to see and sign off on — a draft, a document, a milestone. Regular day-to-day tasks that never reach the client directly can stay in a standard Tasks database related to Projects.

How do I get a client’s actual sign-off recorded, not just implied?

Add a Client Approved date field on Deliverables, and have the client (or your account manager on their behalf, following a real approval) fill it via a shared, editable single-property view — or simpler, update it internally once you have written confirmation by email.

Can I skip the Clients database if I only have one client per project?

You can use a text field instead if your client list truly never grows, but a relation costs ten extra minutes and means filtering by client works properly if that ever changes.
