Why construction needs a different structure
The base Projects/Tasks structure covers internal task tracking, but construction work runs on things a generic template doesn’t model: which subcontractor is on which trade, whether an RFI is blocking progress, and a dated record of what actually happened on site each day. Three additions cover all of it.

The Open RFIs rollup
On Projects, add a rollup counting related RFIs where Status = Open. Visible directly on the main Projects table, it turns “are we blocked on anything right now” from a question you ask a superintendent into something the system already shows.

- Tracking RFIs over email instead of in the system. — Buries the answer history in inboxes and makes it impossible to see which RFIs are actually blocking work at a glance.
- No dedicated Subcontractor relation. — Typing a subcontractor’s name into a text field means you can’t filter “what’s outstanding for this trade” across multiple active sites.
- Daily logs living in a single running notes page. — A related database with one row per day makes logs searchable and filterable by date and site; a running notes page doesn’t.
- Permit and inspection dates buried in a general Notes field. — Dedicated date fields let you build a simple upcoming-inspections view instead of re-reading notes to find what’s due.

FAQ
Does this work if the site has no reliable internet?
The Notion mobile app caches recently viewed pages for offline reading, and queues new entries to sync once connection returns — fine for daily logs, less reliable for real-time RFI status. Confirm connectivity expectations with your crew before relying on it fully offline.
How do subcontractors update their own task status without full workspace access?
Same guest-safe pattern as the agency structure: a filtered, view-only or comment-only view of Tasks scoped to their Subcontractor relation, shared as a link — not full guest access to the workspace.
Can I track permits and inspections in the same system?
Yes — add Permit Date and Inspection Date fields directly on Projects, or a related Inspections database if you’re tracking multiple inspections per site over time.
What about punch lists at project close-out?
Model a punch list as Tasks filtered to a “Punch List” tag within the existing Tasks database, related to the same Project — no separate system needed.
